Approve custom orders

Bi4Approve Orders – Custom orders under control

By understanding the total past and future costs associated with your orders, you can better predict your company’s cash flow.

Does your company handle orders for products and materials managed by various sales representatives and buyers? Does your company consist of multiple branches and smaller subsidiaries, and do you need to keep all your orders under control and in one place? If so, you’ll appreciate our Orders app.

This app uses Microsoft 365 and SharePoint technology to neatly consolidate orders from multiple requesters in one place. This not only gives you a better overview of planned expenses, but also allows you to consolidate multiple orders into a single one and negotiate a better price, for example.

By knowing the total past and future costs associated with submitted orders, you can better predict the company’s cash flow.

How the Orders app works

1

An employee of the company (typically a buyer) creates an order for a specific company.

2

In the order, they will fill in information about the supplier, the items being ordered, the price, etc.

3

The order is saved in the app, which automatically sends it to the designated company employee for approval.

4

Designated employee then can approve or reject the order.

5

If approved, the order will be sent to the supplier.

Benefits of the Orders app

One of the app’s biggest advantages is that it makes it much easier to keep track of all your orders. There’s no need to send emails requesting approval—everything is clearly organized within the app itself.

In addition, the app lets you filter orders by status: pending approval, approved, fulfilled, rejected, or canceled. You can easily sort planned and ongoing orders by their status.

In combination with the invoice approval app, you can easily determine whether an order has been fulfilled and paid. You can assign all relevant invoices to a given order—from the advance invoice, through interim payments, to the final payment and delivery.

Thanks to its features, the Orders application is ideal for all larger companies, corporate groups, conglomerates, and generally for businesses with a diverse portfolio or a large number of departments that independently order materials or services.

If you’d like more detailed information about the application, please contact us. We’ll be happy to answer your questions.

At Greenbuddies, we use the Bi4 Orders app to manage larger orders with our subcontractors. It makes it easier to keep track of who ordered what, and the main benefit is the ability to have orders approved before they are sent. Everything runs on Microsoft 365, ensuring security and authentication.
